We rebuilt a contractor's entire onboarding in one afternoon. Here's exactly how.

A full walkthrough of how we turned a 45-minute manual HR onboarding process into a 10-minute automated flow using Zoho Forms, Deluge, WorkDrive, and Zoho Sign.

One of our clients — a specialty contractor — was spending 45 minutes on paperwork every time they hired someone new. State forms, federal forms, company forms, copy this, paste that, email it, file it.

We fixed it in one afternoon. Here's exactly what we built and how.

The problem (the full picture)

Every new hire required HR to manually complete: a W-4, an I-9, the state withholding form, a direct deposit form, an emergency contact form, and two company policy acknowledgments. Each one filled out by hand, from the same source data, one at a time.

One mistake on any form meant starting it over. There was no digital trail. No way to confirm all forms were complete. No automatic filing. Just a stack of PDFs emailed back and forth.

The actual problem wasn't the paperwork. It was that the same data was being entered six times by hand, into six different documents, every single time.

The solution: one form, everything else automatic

We built a single Zoho form that collects all the information HR needs — once. Employee name, address, SSN, bank info, emergency contact, everything. One session, one submit.

What happens after submit:

→ Deluge scripts pull the form data and auto-populate all 7 required documents
→ Documents go to Zoho Sign for employee e-signature
→ Employee uploads their ID photo directly in the signature flow
→ Completed, signed documents auto-file to the correct WorkDrive folder (organized by employee name and date)
→ HR gets an email confirmation with a link to the completed package
→ Employee gets a confirmation with their copies

How long did it take to build?

One afternoon. About 4 hours of actual build time, plus an hour of testing. The Zoho Flow workflows, the Deluge functions for document population, the WorkDrive folder structure, the Sign triggers — all of it.

What changed for the client?

A 45-minute process became 10 minutes. The 10 minutes is now the employee's time, not HR's time — they're filling out their own information once, in one place.

HR now receives a complete, signed, filed package automatically. They don't touch the process until it's done.

This is a Zoho One implementation. If you're already paying for Zoho One, you have everything you need to do this. The tools aren't the limitation — it's knowing how to connect them.
